Email - Apple Mail

Instructions for setting up GSE&IS IMAP with Apple Mail 3.0 and 4.0

Setting an email client on your computer helps speed up email reply times and increase productivity, allowing you to receive notifications for new emails directly on your computer instead of constantly signing into the online interface. This document is provided to walk you through the setup, as well as provide basic troubleshooting in case something goes wrong.

Prerequisites

  • A machine running Mac OS X
  • Apple Mail (comes installed on all Mac OS X machines)
  • A working internet connection

Determining Your Version of Apple Mail

Before setting up your email account, you must first determine what version of Apple Mail you are running.

  • First, open Apple Mail

  • On the top menu bar, select Mail -> About Mail

  • Your version number will be listed on the pop-up menu

Instructions for Apple Mail 2.x

  • Open Apple Mail.
  • Click 'Mail,' and select 'Preferences...'
  • Open the 'Accounts' tab, and click the plus sign (+) along the bottom to add a new account.
  • Complete the following:
    • Account Type: Change the drop down menu to IMAP.
    • Account Description: Enter a short description for the account. (e.g. GSEIS - John Doe)
    • Full Name: Enter your full name.
    • Email Address: Enter your GSEIS email address. (e.g. jdoe@gseis.ucla.edu)
  • Then click Continue.
  • The Incoming Mail Server screen will appear.
  • Complete the following:
    • Incoming Mail Server: Type in mail.gseis.ucla.edu
    • User Name: Enter your GSEIS email username. (e.g. jdoe)
    • Password: Enter your GSEIS password.
  • Then click Continue.
  • On the Incoming Mail Security screen, check the box for "Use Secure Sockets Layer (SSL)". Ensure the Authentication method is set to "Password". Then click Continue.
  • The Outgoing Mail Server screen will appear.
  • Complete the following:
    • Outgoing Mail Server: Enter mail.gseis.ucla.edu
    • Use Authentication: Ensure the "Use Authentication" checkbox is checked.
    • Username: Type your GSEIS email username. (e.g. jdoe)
    • Password: Type your GSEIS email password.
  • Review the Account Summary screen and then click Continue.
  • On the Conclusion screen, click Done.

Instructions for Apple Mail 3.x, 4.x, and 5.x

  • Open Apple Mail
  • Click Mail, and select Preferences

  • Open the Accounts tab, and click the plus sign (+) along the bottom to add a new account.
    • AppleMail_AddAccount
    • Enter your name in the 'Full Name:' field.
    • Enter your GSEIS email address in the 'Email Address:' field.
    • Enter your GSEIS password in the 'Password:' field.
  • Then click Continue.
  • The Incoming Mail Server screen will appear
  • Complete the following:
    • AppleMail_IncomingMail
    • Account Type: Change the dropdown menu to IMAP
    • Description: Enter GSEIS Mail
    • Incoming Mail Server: mail.gseis.ucla.edu
    • User Name: Enter your GSEIS email username. (e.g. jdoe)
    • Password: Enter your GSEIS email password.
  • Then click Continue.
  • The Outgoing Mail Server screen will appear
  • Complete the following:
    • AppleMail_IncomingMail
    • Description: GSEIS Mail
    • Outgoing Mail Server: mail.gseis.ucla.edu
    • Check Use Authentication.
    • Your account details should already be filled. If not, enter them.
  • Then click Continue.
  • Review the Account Summary screen and then click Create.
  • Once Mail has finished launching, go to the 'Mail' menu and choose 'Preferences...'
  • In the window that pops up, click on 'Accounts'. Then, making sure that the correct mail account is selected (usually in Blue) on the left side of the window, click on the 'Outgoing Mail Server' popup menu, and choose 'Edit SMTP Server List...'
  • Making sure that the correct mail account is selected at the top of the little window that pops up, click on the 'Advanced' tab at the bottom.
  • Select 'Use custom port', and type in 587. Confirm that 'Use Secure Sockets Layer' is checked, and that Authentication is set to 'Password'.
  • Then click 'OK', and close the window.
